Onboarding with DCS: What to expect after you sign your contract
Choosing a dental billing partner is a big decision. Once you've made that decision, the last thing you want is for getting started to feel complicated.
At DCS, we've built a structured onboarding process to make the transition as straightforward as possible. Once your contract is signed, our teams begin working behind the scenes to prepare for your start, connect the necessary systems, and introduce you to the people who will support your practice.

While there are several steps involved, you don't have to manage them all yourself. Your DCS team will guide you through the process so you know what to expect and what we need from you along the way.
Key takeaways for new DCS client-partners:
- DCS coordinates the onboarding process across multiple teams, helping simplify the process for your practice.
- You'll meet the team supporting your practice before services begin.
- Our relationship doesn't end when you go live. Ongoing communication and support are part of the partnership.
1. Your onboarding starts with a plan
Once your contract is signed, your DCS onboarding timeline officially begins. From there, multiple DCS teams work together to prepare your practice. Sales, Finance, IT, and Operations each have a role in helping make sure the necessary pieces are in place before your start date.
You don't need to coordinate these departments yourself. DCS coordinates the process internally as we work toward your go-live date.
This behind-the-scenes coordination is an important part of what helps simplify the onboarding process for your practice. Instead of spending your time figuring out who needs what and when, you have a team working together to get everything ready.
The goal is simple: get your practice ready to work with DCS while allowing you to keep your attention where it belongs, on your patients and your practice.
2. Getting your practice connected
For DCS to provide your services, our team needs the appropriate access and information to work within the systems your practice already uses. That's where our IT onboarding process comes in.
Our IT team works with your practice to complete the necessary technical setup and system access. This allows the appropriate DCS team members to work within your practice management system and have the information they need to begin providing your services.
You don't need to be an IT expert or understand everything happening behind the scenes. We'll guide you through the information and access we need from your practice and help manage the technical side of getting connected.
Once those connections are in place, your DCS team can begin preparing to begin providing your services.
3. Meeting your DCS team
As your onboarding progresses, you'll start meeting the people who will be involved in supporting your practice. Our Operations team takes the lead as you move closer to your start date, helping transition your practice from the initial onboarding process into day-to-day service.
You'll have the opportunity to learn more about who you'll be working with, what each team handles, and how communication will work once your services begin.
You'll also receive an orientation based on the services you've selected. These conversations are designed to give you a clear understanding of what to expect without overwhelming you with every detail of our internal process.
Think of this as your introduction to the people behind your DCS partnership.

4. Your service-specific onboarding
No two practices are exactly alike, and neither are their DCS partnerships. Your onboarding is tailored to the services you've chosen. Depending on your needs, that could include:
- Insurance Billing
- Insurance Verification
- Enterprise Solutions
Each service has its own onboarding requirements and considerations, so your DCS team will make sure the appropriate people and processes are in place before that service begins. If your practice is using multiple DCS services, we'll coordinate those orientations to help you understand how the different services fit together.
The focus isn't simply on getting systems connected. It's also about making sure everyone understands the workflow, responsibilities, and communication expectations moving forward.
That way, when your start date arrives, your practice and DCS are working from the same playbook.
5. Going live with DCS
Once the necessary setup and orientations are complete, it's time to go live. By this point, the appropriate DCS teams should have the access, information, and context needed to begin supporting your practice.
Our goal is to make the transition from onboarding into your normal day-to-day relationship with DCS as straightforward as possible. And while your start date is an important milestone, it isn't the finish line. Going live with DCS is the beginning of the partnership, not the end of the onboarding conversation.
Your DCS team is ready to begin the work you've partnered with us to handle, while continuing to communicate with you as the relationship gets underway.

6. Onboarding doesn't end at go-live
A strong dental billing partnership requires more than simply completing a setup checklist.
After your services begin, your DCS Account Manager remains connected with your practice contacts. You'll receive regular communication about your account and performance and have opportunities to discuss how things are going.
These conversations give you a chance to ask questions, address concerns, review results , and make sure your DCS partnership continues to meet your practice's needs. We don't want you to feel like you've been handed off to a billing team and left on your own.
Instead, ongoing communication is built into the relationship. Your DCS team remains available to help you navigate questions and identify areas where your billing and collections processes may need additional attention.
A true dental billing partner from day one
To recap, here’s what to expect when onboarding with DCS as a new client-partner:
- Your onboarding starts with a plan
- Getting your practice connected
- Meeting your DCS team
- Your service-specific onboarding
- Going live with DCS
- Onboarding doesn't end at go-live
Onboarding with a dental billing company can sound like a complicated process. There are systems to connect, information to share, teams to coordinate, and new workflows to establish.
At DCS, much of that work happens behind the scenes.
From the moment your contract is signed, our teams work together to prepare your practice and get you ready to go live. We target a 12-business-day onboarding timeline, depending on service requirements and timely access to the information and systems we need from your practice.
And once you go live, the relationship continues. As one longtime client-partner shared in a Google review:
“We have been with Dental Claims Support for over 8 years. The company as a whole is awesome! Now for our practice Account Executive Emilee, no words can fully describe how great she truly is! She is on top of our claims and is very attuned to our practice needs. She takes the extra initiative and contacts us immediately if she sees something that needs to be addressed with the carriers. We at Health Partners are grateful for her dedication and service!! Emilee, YOU ROCK!!!!!” —Chrisie Mulcahey
With dedicated teams, ongoing communication, and a structured process behind you, you can focus less on managing the billing process and more on running your practice.
